BOOKING POLICIES

IMPORTANT NOTICE: According to the Resolution #002-2004-UGM-CD, published in El Peruano on Nov 12, 2004, modifying chapter III of the Inca Trail Regulation which refers to Inca Trail space bookings, the following has been agreed:

• Bookings will only be guaranteed when providing full names, nationalities and passport numbers of passengers, and when having paid the full amount of passengers and staff (cook and team of porters) entrance fees.

THEREFORE:
• No agency has guaranteed spaces for the Inca Trail in 2005: any agency claiming to have guaranteed spaces and departures on 2005 is making a false statement and incurring in supplying deceiving information and publicity.
We have identified a certain number of agencies publishing guaranteed departure dates and spaces on their websites, claiming other agencies do not have the same guarantee. Please beware these agencies are just willing to sell their product through an illegal competition, so feel free to choose the operator you wish.
Panorama Cusco Travel Tour Operator will guarantee the spaces booked provided:
1. The booking has been first confirmed by our Reservation Department by e mail, this meaning spaces are available on the Inca Trail for the requested date at the moment of the booking.
2. The full passenger data have been provided and the required deposit has been paid for.
Since the Inca Trail will have a maximum allowed of 500 people per day in 2005 (including passengers and agency staff), we strongly recommend to make your bookings as much in advance as possible to make sure you will find spaces on the desired departure date. Panorama Cusco Travel Tour Operator is already receiving bookings for departures scheduled in 08 - 12 months’ time, so if you wish to travel with us to the Inca Trail, please make sure to confirm your booking as soon as possible. Otherwise, we have also available alternative routes of equally awesome beauty and interest to offer to you. Like a Valle de Lares, Ausangate, Salkantay, Huchuy Qosqo, all that places the some guality than Inka Trail, ones of them for 5days – 4days – 2days include Machupicchu.

RESERVATIONS
All reservations and bookings should be submitted in writing by fax, (051-84-243221) ó e-mail reserves@panoramascuscotravel.com PANORAMA CUSCO TRAVEL will respond in the same way. The reservation will be held on a tentative basis until deposit is received from the client. All reservations will be guaranteed only upon receipt of such deposit.

A - INDIVIDUALS
An individual reservation is considered to be a number less than or equal to 10 passengers. A deposit of 100% of the total value will be required with each reservation. The remaining balance will be due 08 – 12 mounth prior to arrival of passenger.

B - GROUPS
A Group is defined as having a number of passengers greater than 10. A deposit of 80% of the total reservation value will be required with each reservation. The remaining balance will be due 08 – 12 mounth prior to arrival of passengers.

PAYMENT
All payments are due in full 08 mounth prior to departure. PANORAMA CUSCO TRAVEL reserves the right to cancel the booking and impose cancellation charges should the payment not be received by the established date. A non-refundable deposit of 50% is due within 15 days after the receipt of our invoice. If a booking is made less then 08 mounth before the departure date, full payment of the balance must be made before the passenger arrival. PANORAMA CUSCO TRAVEL will send the detailed itinerary to The Client within 3 business days of having received the first 80% deposit.

Note: All the wire transfer fee is assumed by the client or tour operator

CANCELATION
The Client may cancel the booking at any time. Notice of cancellation must be made in writing to PANORAMA CUSCO TRAVEL. If notice of cancellation is received by PANORAMA CUSCO TRAVEL 30 days or less prior to departure, only the non-refundable deposit will be retained 30%. The following scale of charges will apply when notice of cancellation is given after the booking is confirmed.

WE STRONGLY RECOMMEND THE USE OF A TRAVEL/ MEDICAL INSURANCE PLAN.
Limited insurance is available in Peru with local insurance companies and international travel insurance companies. Daily rates range from $2.00 - $8.00, depending on coverage requested. We prefer not to get involved with supplying these services, since it is easier and less expensive to purchase this kind of coverage abroad, at your point of origin; although we are willing to acquire coverage for you upon request. If a member of the group gets sick or is incapacitated, we take care of him by getting a qualified doctor to him/her, in these cases extra costs are assumed by the individual client, including hospitalization if necessary. In the case of accident and/or necessary emergency evacuation, all expenses will be covered by the individual.

RESPONSABILITIES
PANORAMA CUSCO TRAVEL reserves the right to modify or withdraw any travel arrangements when deemed necessary, in the best interest of our clients. We reserve the right to refuse, accept or retain any person as a member on any of our trips. Baggage is carried at owner's risk throughout the tour.
PANORAMA CUSCO TRAVEL acts only in the capacity of an AGENT upon the legal conditions that, while exercising every possible precaution, PANORAMA CUSCO TRAVEL is not responsible for injury, sickness, damage, loss, additional expenses, accidental delay or other irregularities which may be caused either through willful or negligent acts or omissions on the part of companies or individuals providing or engaged in transportation, accommodation or other services related to the accomplishment of the tour, or through natural disasters, social upheavals or acts of nature. The company recommends obtaining the following types of insurance in this order: Travel insurance, Life insurance for accidents or incapacity, Medical evacuation insurance.

PANORAMA CUSCO TRAVEL is not responsible about flights cancellation, changes of itineraries or other related to airlines.
